Privacy Policy
Effective September 28, 2026
This policy explains how NemtSync ("NemtSync", "we", "us") handles information in the NemtSync dispatch website (nemtsync.com) and the NemtSync Driver mobile app. NemtSync is software used by non-emergency medical transportation (NEMT) providers ("Providers") to receive, dispatch and complete trips.
Who controls the information
Trip and member information is provided by the Provider that uses NemtSync and, where connected, by that Provider's transportation broker (for example MediDrive). NemtSync processes this information on the Provider's behalf and only to deliver the service. Questions about a specific trip or member should go to that Provider.
Information we collect
- Account information: for dispatchers and owners, name, email and a password (stored only as a secure hash); for drivers, name, license number, assigned vehicle, the company code and a 4‑digit PIN (stored only as a keyed hash).
- Trip information: member name, phone number, member ID, pickup and drop‑off addresses and times, service type, special needs and notes, as supplied by the Provider or broker.
- Trip records created by drivers: status steps (en route, arrived, onboard, completed, no‑show) with their times, member signatures, optional drop‑off photos, odometer readings and notes.
- Location: the driver's device location, collected only while the driver has an active trip (en route, arrived or onboard), including in the background during that trip. Location sharing stops when no trip is active.
- Technical information: sign‑in times, IP address (used for security such as limiting wrong‑PIN attempts), device type and app version, and error logs.
How we use information
- To show drivers their assigned trips and let them record each step of a trip.
- To let dispatchers assign trips and see trip progress and vehicle location.
- To send trip status, location and completion records (including signatures) to the Provider's broker when the Provider has connected one, as required for trip verification and billing.
- To keep accounts secure, prevent misuse, and fix problems.
We do not sell personal information, use it for advertising, or use third‑party advertising or tracking tools in the app.
Who we share information with
- The Provider the driver or dispatcher works for.
- The Provider's transportation broker, only for the trips that broker assigned.
- Service providers that host and operate NemtSync (for example cloud hosting), under obligations to protect the data and use it only to run the service.
- Authorities, when required by law.
Offline use on the device
So drivers can keep working without signal, the app keeps a limited copy of trip information on the device, encrypted using iOS data protection:
- Today's assigned trips, so the schedule stays available offline.
- Unfinished trips from the previous day (for example, a late‑night trip that is still en route, arrived or onboard after midnight). These stay on the device, and location sharing for that trip continues, only until the trip is completed or reported as a no‑show.
- Trip steps recorded without a connection (status changes, signatures, photos, odometer and notes), kept only until they are successfully sent to NemtSync.
All locally stored trip information is deleted when the driver logs out or when a different driver signs in on the same device. Older trips are not kept on the device.
Retention
Trip records are kept for as long as the Provider's account is active and as needed to meet the Provider's legal, contractual and audit requirements for NEMT services. Providers can ask us to delete their data when they close their account, subject to those requirements.
Security
Data is sent over encrypted connections (HTTPS). Passwords and PINs are stored only as hashes, sessions can be revoked by the Provider at any time (for example by resetting a driver's PIN), and repeated wrong‑PIN attempts are temporarily locked out.
Health information
Trip information can include protected health information. NemtSync handles it only to provide the service to the Provider, and Providers are responsible for their obligations under HIPAA and applicable state law.
Children
NemtSync is a workplace tool for Providers and their staff. It is not directed to children, and drivers and dispatchers must be adults.
Your choices and rights
- Drivers can turn off location access in iPhone Settings. Trips then cannot be tracked or completed with location, which the Provider may require.
- To access, correct or delete your information, contact your Provider or us at the address below. We will respond as required by applicable law.
Changes
We may update this policy. The effective date above shows the latest version.
